Opt-In Process for SMS Communications

Our organization uses Genius SIS as our student information system, which integrates with our website’s account-creation process. All SMS communication preferences are collected directly from students during account setup. Below is a detailed explanation of how consent is obtained, stored, and enforced:

  1. Account Creation & Consent Request
When a student registers through our website, the system automatically initiates the creation of both a Genius SIS account and an Agilix Buzz account. During this registration process, students are presented with a clear question asking whether they would like to opt in to receiving text-message communications from our school. The consent request is explicit, unambiguous, and requires the student to choose whether they would like to receive SMS updates.
  2. Recording Consent in Genius SIS
Once the student selects their preference, the system writes that consent selection into the student’s profile within Genius SIS.
    • If they choose Yes, the student is marked as opted in.
    • If they choose No, the student is marked as opted out.
This consent status is stored as part of the student’s official communication preferences and can be retrieved or audited at any time.
  3. Enforcement of Consent
The SMS integration respects these preferences at all times. Genius SIS prevents any text-message communication from being sent to students who have opted out. In other words, even if a staff member were to attempt to send an SMS, the system recognizes the student’s opt-out status and blocks the message from sending. Only students who have explicitly opted in during registration can receive SMS communications.
  4. Ongoing Access & Management
Students may update their communication preferences at any time through their account. Any changes made by the student automatically update their consent status in Genius SIS and are immediately enforced by the system.
